The Storyboard is where you organize your content, from slides and videos to polls and webcams. Think of it as your "mission control" for the live event.

Getting Started

This is the FIRST thing you need to do as soon as you join a webinar room. You MUST ENABLE AUTOMATIC MEDIA PLAYBACK. Clicking the OK button may not enable it if it is not enabled (Especially on Apple Devices). If this isn't enabled, you won't be able to hear or see audio/media playback from storyboard blocks.

1. Accessing the Storyboard 

Once you have created your event, enter your Webinar Room.
  • On the left-hand side or bottom navigation (depending on your layout), you will find the Storyboard panel.
  • Click the "Edit" toggle or the "+" (Add Item) button to begin building your sequence.

2. Understanding Storyboard

  • Storyboard is the tool that you use to build the story or the flow of the webinar. 
  • 9 different types of media modules are available to add
  • Slides, videos, surveys can be added to a library while the whiteboard auto-saves the content
  • You can launch each segment or storyboard blocks (items) by clicking the play button
  • These segments can be pre-recorded and played automatically (zero clicks)
  • You can add multiple similar segments (for instance multiple slides segments)
  • Storyboard ASSIGNS one or more presenters to each segment (reduces admin overhead) and brings them ON-AIR when played - Only one person can be assigned to the sharing segment but you can have multiple screen sharing segments per each presenter
  • A timer is added by default - it appears when the segment is launched
  • Slides download option, tools and annotations are available with slides module while similar options are available with the video player module.

3. Adding Content Blocks to the Storyboard

3.1 Before You Begin - Supported File Types, Formats, and Sizes


3.2 What are the Available Media Modules and What Do They Do?

Flow offers 9 distinct modules to deliver your message. To add a block (a storyboard item), click Add Item and select from the following:

      Slides

      Upload your PDF or PowerPoint presentation (we do not support animations).


      Survey/Polls

      Create interactive questions to engage your audience.

      Video Player  

      Select a pre-loaded MP4 from your library for high-quality playback.


      Screen Sharing

      Pre-set a point in the webinar where you intend to share your desktop.


      Q&A

      A dedicated module for managing attendee questions - The Q&A module has an option to END the Recording Automatically before you start it. DO NOT use it if you do not want to stop the recording.

      Biographies (BIOs)

      BIOs: Displays the list of presenters and their BIOs (upon creating new presenters during event creation, add their BIO into the profile, and enable "Show as Presenter" tick box.

      Web Content Player

      Embed a web page (i.e., sign-up/landing page), YouTube video or a virtual tour link directly into the room.

      Whiteboard with Notes

      Add a blank canvas, add text, images, shapes, and more, for real-time annotation.

      Webcam (Conference/Roundtable)

      Multiple-presenter Roundtable option for video chatting/conferencing - Can be used as a live Q&A or an A.M.A. segment.


      4. Organize the Flow

      The order of blocks in your Storyboard is the order in which they will appear during your event.

      • Drag & Drop: You can easily reorder blocks by clicking and dragging them into the desired sequence.
        Once you start the event, you have to enable editing to rearrange the storyboard (see below)
      • Labeling: Give each block a clear name (e.g., "Intro Video," "Product Demo," "Closing Poll") so you and your co-presenters can navigate quickly during the live session.

      5. Optional: Using Pre-recorded Content (AutoFlow™ - Patent Pending Technology)

      If you are looking to automate your webinar, you can record your interactions with these Storyboard items. With AutoFlow, you can pre-record each segment. Supported Segments are,
      • BIOs
      • Slides
      • Screen Sharing
      • Video Player
      • Webcam (Roundtable)
      • Survey
      • Q&A

      5.1 How to Pre-record a Segment - A Quick Tour 


      Pro Tips for a Perfect Storyboard
      • 💡 Tip 1: The "Lobby" Buffer – Always start your Storyboard with "Lobby" content (like a static slide with music or a short loop video). This gives attendees something to see while they wait for the official start. You can also use the Lobby Options
      • 💡 Tip 2: Check Your File Sizes – Ensure your slides are under 50MB and videos are in MP4 format (less than 200 MB is always better while you can add up to 1 GB per video) for the best performance.
      • 💡 Tip 3: Multiple Webcams – If you have a panel discussion, create a "Webcam" Storyboard block. Flow supports up to 4 simultaneous webcams by default.
      • 💡 Tip 4: Interaction/Engagement is Key – Place a Survey or Poll every 10–15 minutes in your Storyboard to keep the "Engagement Manager" metrics high.

      6.0 Finalizing and Testing

      WE HIGHLY RECOMMEND YOU TO DO A DRYRUN BEFORE THE ACTUAL EVENT!

      6.1 Using Prep Mode for a Dry Run (Rehearsal)

      What is Prep Mode?
      • By default, before you click the Start Event button, the event is in Prep (Preparation) Mode. During this mode, attendees cannot see/hear hosts/presenters and media content
      • Before going live, use the Prep Mode to click through your Storyboard. Ensure that all media loads correctly and that the transition between a video and a live webcam is smooth
      • Testing Microphone/Webcam/Storyboard: While in Prep Mode, you can have other Presenters join you to test out their microphone and webcam performance by using the links provided to them after you created the Webinar Event

      • Storyboard: Test the Storyboard and AutoFlows (pre-recordings). Make sure presenters are assigned properly to the storyboard blocks. When each block is launched, the assigned parties go on-air

      • Remote Control: View and control other Presenters’ webcams and microphones by clicking the AV Controls tool in the left, below the Storyboard (or on the toolbar at the bottom with the new interface)

      • Ending the Dry Run: You can end Prep Mode by clicking the End Prep Mode button at the bottom of the Storyboard Content Block list. This does not end the actual event.
