Learn how to administer your Flow account

In this article, we will explain how to manage and administer your Flow account. See the video walkthrough below to save time.

1. Section 1 - Sign in to Flow

Start signing in by opening the login link - this link is emailed to you as soon as you register for a free trial. 


There are two ways you can log into Flow.

  1. Log in through the Direct linkhttps://prod.flowapp.com/dashboard/login
  2. Log in through the Website (not recommended): flowapp.com, then Click Sign In (See below).
  3. To reset the password in case if you missed the invitation or unable to log in, https://prod.flowapp.com/dashboard/forget-password

 
2. Section 2 - Flow Dashboard
2.1 What is on the Dashboard?

On the Upper Right

  1. Customize Your Profile
  1. Customize the Account
  2. Create and Manage Administrators
  3. Create Registered Users (Only if you have Always-on Rooms)
  4. Dashboard Settings (gear)
  5. Create Events button (+)


The Rest

    1. Rooms: Always-on Rooms (Only if you own)
    2. Current Events: Events occurring within an hour
    3. Recurring Events (Series/Funnels): Created Weekly and Monthly event series show up here
    4. Past Events: Past event cards, reports (analytics and statistics), and replays are available here
    5. Event Cards
       

      2.1.1 What is an Event?

      This is a card that lets you manage the event, access the configuration, and take quick actions, such as joining instantly to practice and host the event. 

      Types of Events

      Tip: The Event Card is where you access and manage the event settings.
       

      2.1.2What is a Webinar (Always-on) Room?

      A webinar room is an always-on webinar session that never ends. It is a virtual webinar room you can enter and use to host sessions whenever you want. It provides a direct link for your attendees. In addition, you can create a set of registered accounts for your attendees and centrally manage them.

      Tip: The Event or Room Card is where you access and manage the room settings. 


      2.1.3 Event Card/Room Card Options

      Click the Meatball button (...) at each card's upper left to access the following sections. The options are,
      • Event/Room Summary: Where you can find event information, login links, host/presenter information, bulk registration/registration management options and replays.
      • Edit the event
      • Duplicate event
      • Delete the event.


       

      3. Section 3 - Profile

      Upon logging into Flow, your first step should be updating your profile. This involves changing your password, uploading a profile photo, and crafting a bio that will appear in the webinar room via the BIOs storyboard item.

      3.1 Accessing the Profile 

      1. Find your profile at the upper right-hand corner in the Flow dashboard (you must sign in first) - You will see the initials of your name there
      2. From the dropdown menu, click Profile
      3. You can add/manage certain details here. You could also add a LinkedIn and X handles.
         

        Important Note: You cannot change your First Name/Last Name/Email here. To change that, go to the Admin option. See Section 5 for more details.

         

         

         4. Section 4 - Account 

        Next up is the Account section. This is where you manage your Flow webinar account. 
        1. Click the Profile Image
        2. Click Account from the dropdown menu

        From the Account page, you can, 

        • Add/change account details such as name, address, country, etc.
        • Add a logo
        • Add a brand color to use when creating the event registration pages, event/guest logins, and for the webinar room itself (theme color)
        • For Developers: You can find and provide the API key here
        • Check the Storage you have used
        • Enable certificate templates (More on Issuing Certificates)
        • Disable sharing the events (event registration page) with social media.

         

        5. Section 5 - Admins

        The Admins or Administrators page is where you create and manage extra admins for your account. To create an admin user,
        1. Click the profile image at the upper right
        2. Click Admins
        3. Add the details of the new admin (just like you updated your profile details)
        4. Once you Add the admin, be sure to enable the appropriate permissions
          • If the person should create and manage events/rooms, enable Event Creation permission
          • To let him manage Admins (super admin), enable User Management

        To update the details of an Admin, including yours, click the Edit option, and then modify the First/Last names. 
        To add an Admin to a Webinar Room (Always-on), click Add to Room. 
        To resend an invitation to an admin who did not receive the invitation email, use the Resend Invitation option.


         

        6. Section 6 - Past Events, Follow-up Emails, Statistics, Analytics, and Replays 

         
        This section includes,
        • Filter events by Room/Events
        • Filter Past Events (by Name of the host, date, etc.)
        • Past Event Actions
          • Follow-up: Send event Follow-ups
          • Summary: View information, login details, and Replays
          • Duplicate: Duplicate the event with/without storyboard (media content)
          • Delete: Deletes the report

         

        7. Section 07 - Reports

        The Reports section is part of Section 06, Past Events. What you can find here are,
        • Analytics: Conversions, Source Tracking, Engagement Scores (customizable)
        • Participant Attentive Patterns
        • Geographic Location
        • Participant Details: Table and CSV (with a vast number of details) - With Certificate Issuance options
        • Survey Report
        • Chat Report, Announcements
        • Q&A Report.
